Inviting Your Team
This tutorial shows you how to add teammates to your organization and how to access multiple organizations as an agency or consultant.
Part A: Invite a Teammate to Your Organization
Goal: Add a team member to your VBRI Group workspace with the right access level, and manage their membership.
1. Navigate to the Team page
Click Settings in the sidebar, then select Team under the Workspace group. You now see the Team page with two tabs: Members and Roles.
2. Choose an access level or create a custom role
You have two paths:
Option 1 — Use a base access level (fastest): The system has three built-in levels:
- Organization Admin — everything, including settings, team, roles, Lead Chains, and integrations
- Organization Member — day-to-day work: leads, deals, calls, meetings, and Copilot
- Organization Viewer — read-only access
Option 2 — Create a custom role (if you need fine-tuned permissions):
- Click the Roles tab
- Click a suggested role title or click to create a custom one (e.g., Sales Manager or Revenue Ops)
- Click the key icon to open the permission matrix and set View and Write toggles for each module
- Save the role
For your first invite, you can skip this—just pick a base level in step 4.
3. Click Invite Member
From the Members tab, click Invite Member. A form appears asking for two fields.
4. Enter the teammate's email and select a role
- Type their email address in the first field
- Pick a role from the dropdown (either a base level or your custom role)
- Click Send Invite
No password is shared. VBRI Group emails them an invitation link instead.
5. What the invitee experiences
The person you invite receives an email with an invitation link.
- The link expires in 3 days
- They click it and land on a join page showing your organization name
- They enter their own name and create a password
- They click to confirm and are signed in to your CRM immediately
If they already have an account with VBRI Group (for example, they work with another organization), they are added immediately—no email needed, since they can already sign in.
6. Manage pending invites
While the invite is waiting to be accepted, their row in the Members table shows a Pending badge. Hover over or click the ⋯ menu on their row to:
- Resend invitation — send the link again
- Revoke invitation — cancel the invite and remove them from the list
7. Manage active members
Once they accept and sign in, their badge changes to Active. On their row:
- Change their role — the Role column is a dropdown for active members; pick a new role and it applies instantly, no confirmation needed
- Remove them — open the
⋯menu and click Remove from organization. Removal only detaches them from this organization—their account and access to other organizations remain untouched
Part B: Work Across Multiple Organizations
Goal: Understand how to access and switch between multiple organizations as an agency or consultant.
1. Have a client invite you from their Team page
When a client or partner wants to add you to their workspace:
- They log in to their VBRI Group account and go to Settings → Team
- They click Invite Member and enter your email address
- They pick a role for you and send the invite
If your email already has an account with VBRI Group (because you work with other organizations), you are added immediately—they don't need to wait for you to click a link.
2. Use the organization switcher
Once you belong to 2 or more organizations, an organization switcher appears in your header next to the theme toggle.
- Click the switcher
- Pick an organization from the list
- The entire CRM reloads, scoped to that organization—you see its leads, deals, team, settings, integrations, everything
Switching is verified server-side on every request—you can only ever enter organizations where you hold a real membership.
3. Your role can differ per organization
You might be an Organization Admin in your own business but a Member or Viewer in a client's workspace.
- Every permission check uses the role you hold in the organization you're currently viewing
- If a client removes you from their workspace, that organization disappears from your switcher
- Your access to other organizations is unaffected
This setup lets consultants, agencies, and freelancers work seamlessly across multiple client workspaces without managing separate accounts.
