Inbox
The Inbox is an Outlook-style mail client over every email your CRM sends and receives — drip campaigns, workflow emails, Copilot mail, replies, and anything you compose here. Messages are linked to the lead they belong to, so you can act on the CRM record without leaving the message.
Available to Admins, Members, and Viewers.
Folders
A folder strip at the top switches the list, each with a live count:
- All mail — everything; the badge shows unread when there is any.
- Received — inbound replies (see How replies arrive).
- Sent — outbound mail that went through.
- Failed — sends that errored; open one to read the exact failure message.
- Flagged — anything you've flagged.
- Trash — messages you've trashed, restorable.
Search mail… on the right filters the list as you type. The list groups messages under Today, Yesterday, and month headers; unread messages show in bold with an accent bar.
Read a message
Click a message to open it in the reading pane (this also marks it read). The header shows the subject with Reply, Forward, flag, and trash buttons, the sender line, and status chips: Sent / Failed / Received, the mail provider, plus Opened and Clicked chips once the recipient has opened the email or clicked a link in it — that's the built-in open/click tracking.
In Trash, the trash button is replaced by Restore and a delete-forever button (confirmed before it deletes permanently).
The CRM strip
Below the header, a strip shows the message's place in your pipeline:
- If the sender/recipient matches a lead: the lead's name, company, and status chip, plus two buttons — AI insight and Follow-up task (creates a task in My Tasks, due in 2 days).
- If there is no CRM record: a Create lead button turns the correspondent into a lead and links the message to it.
AI insight — stage recommendation
AI insight analyzes the conversation and returns a recommended lead status with a confidence percentage, a sentiment chip, a short analysis, and a suggested next action. If the recommendation differs from the lead's current status, a Move to … button applies it in one click.
Compose, reply, forward
Compose opens a New message dialog (To / Subject / Message). Reply and Forward prefill it with the quoted original. Mail is sent through your configured mail provider — your own SMTP server if an Admin has set one up under Settings → Integrations → Email (SMTP), otherwise the built-in provider — and logged in the Inbox either way. Send failures land in the Failed folder with the error attached.
How replies arrive
Inbound email comes in through a webhook an Admin configures under Settings → Integrations → Email (SMTP) → Inbound email: generate a key and point your provider's inbound hook at the shown URL. When a reply arrives it appears in Received as unread, links to the sender's lead, logs on the lead's timeline, and stops any active drip campaigns for that lead.
