Contacts

Contacts is your address book of people and organisations, connected to everything else in the CRM — the linked lead, deals, projects, tasks, and full email history live on each contact's profile.

Available to Admins and Members (anyone with contacts access).

The docked side panel

Opening Contacts docks a panel next to the sidebar with three sections — Contacts, Lists, and Segments. It replaces the tab strip that used to sit at the top of the page and stays open while you're anywhere under Contacts.

Three ways to view contacts

A small toggle switches how the Contacts section renders:

  • Table view — a configurable table. The Name column is always shown; Type, Email, Phone, Details, Status, Last touch, and any contact custom fields are toggleable via the columns button (Configure columns); your selection is remembered per browser. Clicking a row opens the contact's profile.
  • Grid view — contact cards with avatar, role/company, email, phone, lifecycle chip, and last-touch time.
  • Profile view — the split workspace: a recency-sorted contact list on the left, the full profile canvas on the right.

All three share the toolbar: Search contacts…, the All / People / Orgs filter with counts, and Add Contact.

People and organisations

A contact is either a Person (job title, department, company) or an Organisation. Organisations can carry Products & Services — a list of offerings marked Product or Service, used for segmentation and AI context. You pick the type at the top of the Add/Edit Contact drawer.

The contact profile

The profile canvas shows a header with the contact's name, type chip, lifecycle chip, and Edit button, plus a five-step Lifecycle stage bar (Lead → Marketing Qualified → Sales Qualified → Opportunity → Customer; lost contacts show a Lost state). Below it, tabs:

  • Summary — three cards: Contact information (email, phone, LinkedIn, location, plus the lists and segments the contact belongs to), Up next (the next open task with due date and assignee), and Engagement overview (an engagement score, a 30-day email sparkline, and Sent / Opened / Clicked / Replies counts). Underneath: Recent activity (latest email events) and CRM summary (linked lead with owner, deal count and total value, last contact).
  • Details — every field including custom fields, with Edit and Delete buttons.
  • Related — the linked lead, the contact's projects, an organisation's products & services, and colleagues ("People" for an organisation, "Works with" for a person).
  • Activity — the full email history with Opened/Clicked chips per message.
  • Deals — the opportunities for this contact's lead, with value, stage, and expected close.
  • Tasks — open follow-ups with due dates (overdue in red) and priority chips.
  • Notes — free-form notes, edited via the contact drawer.

Lists — static groups

Lists (in the docked panel) are groups you curate by hand — for campaigns, imports, or account teams. New List asks for a name and description; click a list to open it and add or remove members one at a time. Deleting a list never deletes the contacts in it. Lists can be enrolled wholesale into a drip campaign.

Segments — dynamic groups

Segments are rule-based groups: rows of field + operator + value (Type, Name, Email, Job Title, Department, City, State, Country, Tags; operators equals / does not equal / contains / starts with). All rules must match. Rules run against your contacts live, so membership updates itself — the table shows the current match count. Segments can also be enrolled into drip campaigns.

Add or edit a contact

Add Contact opens a drawer: pick Person or Organisation, then name (required), email, phone/mobile, job title and department (people), products & services (organisations), LinkedIn, city/country, notes, and any custom fields defined for contacts under Settings → Custom Fields. Delete asks for confirmation first.
