Projects & Tasks

Projects are delivery boards for the work that starts once a deal is won — each project holds a three-column task board, and every teammate has a My Tasks page collecting their own assignments across all projects.

Available to Admins and Members (anyone with projects access).

The Projects panel

Clicking Projects in the sidebar opens a docked panel with quick links — Dashboard (a personal overview with task stats, Tasks by Status/Priority charts, and Upcoming Tasks), All Projects, My Tasks, All Tasks — plus your recent projects with their task progress, and a New project shortcut.

Projects list

Each project card shows its status chip (Active / Completed / Archived), the linked lead and company, a task-progress bar ("3 / 8 tasks done"), the owner's avatar, and — for projects the system opened automatically — an "Opened from a won deal" note. New Project asks for a name, description, and owner.

Deal-won auto-projects

When an opportunity moves to a Won stage, a delivery project is created automatically, linked to the deal's lead. Win a deal and its project appears here without any manual step.

The project board

Open a project to get its task board with three columns: To Do, In Progress, and Done. From the header you can change the project's Owner and Status directly.

  • Add a task — type in the "Add a task…" box and press Enter.
  • Move a task — drag its card to another column; the change saves on drop.
  • Edit a task — click a card to open the edit drawer: rename it, pick an Assignee, set a Due date, and choose a Priority (Low / Medium / High).
  • Delete a task — the trash icon that appears on hover.

Cards show a priority chip (when not Medium), a due-date chip — red when overdue, highlighted when due today — and the assignee's avatar.

My Tasks

My Tasks shows every task assigned to you, across all projects:

  • Stat cards — Done %, Completed, In Progress, Due Today, and Overdue counts.
  • Toolbar — search, plus Status / Priority / Project filters and a sort by due date or priority.
  • List / Board toggle — a table (with a checkbox to mark tasks done straight from the row, and an Overdue chip replacing the status when a task is past due) or the same three-column drag-and-drop board.
  • New task — creates a task in a project of your choice, assigned to you, with a due date and priority.

Follow-up tasks created from the Inbox ("Follow-up task", due in 2 days) land here too.

Overdue digests

If an Admin has enabled it under Settings → Integrations → Email (SMTP) ("Email assignees a daily digest of their overdue tasks"), each assignee gets one email a day listing their overdue tasks.

TeamFlow bridge

Organizations running TeamFlow can connect it under Settings → Integrations → TeamFlow: enter the TeamFlow URL and its integration API key, tick "Create a TeamFlow project when a deal is won", and use Test connection to verify. From then on, winning a deal also opens a delivery project in TeamFlow with the client's details. Admins only.
